Come join the workforce development team at The ²ÝÝ®ÊÓƵAPP Institute located in Pittsfield, ME. This role will support our educational programs and instructors with a focus on maintaining team member records, assisting with program coordination, facilitating course assignments through ²ÝÝ®ÊÓƵAPP’s Learning Management System, and assisting with other administrative office duties. The ideal candidate will have a commitment to internal customer service, attention to detail, and a positive, can-do attitude.
Job Responsibilities- Greet all incoming visitors with a welcoming, friendly, and engaging attitude and assist them with their needs.
- Perform general office support duties including answering phones, maintaining the filing system, maintaining office supplies/ordering for the office, mail, and courier services.
- Prepare agendas, coordinate, and produce materials for workforce development classes.
- Compile, file, and retrieve documents, records, and reports as needed using Access and our internal Learning Management dashboards.
- Prepare reports, compile meeting minutes, draft memos, letters, financial statements, and other documents using word processing, spreadsheet, database, or presentation software.
- Enter and maintain the company’s workforce development records, certifications, and licenses in our Learning Management system and internal HRIS system.
- Administer NCCER testing/proctoring.
- Assist with updating/tracking team members on-the-job learning hours (apprentices), licenses, proficiency levels, tuition reimbursements and endorsements.
- Maintain state licensing and renewals.
- Assist in assigning and tracking compliance education.
- Function as back-up for weekly payroll and travel expense entry and review.
- Maintain apprenticeship documents and communication, including VA reporting.
- Internally audit the ²ÝÝ®ÊÓƵAPP Companies I9s.
- Function as a back-up for accounts payable processing.
- Function as a back-up for driver program and DOT compliance items.
Qualifications/Requirements- The ideal candidate must possess a positive attitude with the desire and ability to learn and grow.
- A good working knowledge of Microsoft Office applications is necessary.
- The position requires excellent communication skills with a personable, professional demeanor and a collaborative attitude.
- Ability to multi-task.
